A rapidly growing 3D graphics company needed a scalable business management environment that could connect sales, project management, HR, and financial operations.

The company works across architecture, gaming, and film production and had more than 50 full-time employees worldwide at the beginning of the project. After an unsuccessful experience with Jira, the client moved to Zoho One but needed expert assistance to design and implement its business processes correctly.

CRMOZ implemented the required Zoho environment and developed a custom synchronization workflow between Zoho CRM and ClickUp, allowing deals to move seamlessly from sales to project execution and back to CRM.

Business Challenge

The company needed two systems to work together.

Zoho CRM was used to manage customers, transactions, sales, and purchases, while ClickUp was used for active project management and collaboration with external specialists and freelancers. crmoz.com

The challenge was creating a reliable workflow between them because there was no native synchronization that supported the client's requirements.

Key requirements included:

Solution

CRMOZ first configured the company's Zoho environment around its existing operational requirements.

The most technically significant stage was building the synchronization between Zoho CRM and ClickUp.

A workspace was configured in Zoho CRM to prepare and send transaction information. A corresponding ClickUp workspace was then created to receive this data and transform a CRM deal into an operational project. 

CRMOZ used Zapier together with custom Deluge functions to connect the two platforms.

The resulting workflow allows a deal to begin in Zoho CRM and move through the sales pipeline. Once it reaches the required stage, detailed information is automatically transferred to ClickUp.

Employees and freelancers can then execute the project in ClickUp. When their work is complete, the relevant information returns to Zoho CRM, where the internal team can continue the process and close the deal.

After development, the complete workflow was tested and approved for production. CRMOZ also prepared staff training instructions, and the client continued working with CRMOZ for long-term technical support.
